Job Description

The Maple Leaf Trust is the premier charity of the Canadian community in the UK, founded 60 years ago by an inspired group of Canadian philanthropists.

The Trust is an independent charity that is run by volunteers, relying entirely on donations to continue to provide valuable assistance to WWII Canadian Veterans in the UK when they are in need. 

In addition, the Trust also provides support in its entirety to continue the work of the Canadian Centennial Scholarship Fund (CCSF) so that outstanding students from across Canada who are enrolled in postgraduate programs can study in the UK.

DETAILS OF THE ROLE

This is an exciting opportunity for the right person to join the support team of a prestigious charity.  This newly created role will suit a self-motivated, highly professional, organized individual who is capable of shaping their own role and is comfortable working in high profile environment, yet being just as comfortable to work independently, flexibly and remotely.

The Maple Leaf Trust hold regular events to raise awareness and funds to help them to continue to support Canadian veterans and scholars in the UK.  The Charities flagship fundraising event is the Maple Leaf Gala Ball, held every other year at a spectacular venue (the most recent being held at the Natural History Museum in central London).   The incumbent will act as a key point of coordination for the organization of this prestigious event.

CORE DUTIES

The person who is appointed to this role will be responsible for:

  • Managing the Corporate Governance for the UK Charities Commission
  • Implementing new administration, finance and IT systems to ensure the smooth and efficient running of the ‘virtual office’
  • Organizing Board Meetings, including logistics, producing agendas and minutes
  • Event coordination and project management of the Maple Leaf Gala Ball
  • Maintenance of the financial accounts, banking and reconciliations processes.
  • Proactively support and drive fundraising activity  
  • Website administration (Squarespace)
  • Handling various types of correspondence on behalf of the Charity and its Trustees
  • General support to the Board of Trustees (of which there are currently 6 members)

CORE SKILLS AND EXPERIENCE

  • Strong administrative skills
  • Flexibility and willingness to work with limited direction / oversight
  • Strong interpersonal and communication skills (written and verbal)
  • Project Management / event organization experience
  • Customer facing / Sales / marketing experience would be desirable 
  • Dynamic, creative thinker, effective problem solver
  • IT skills:
    • Proficient in Microsoft Office – word, excel, outlook.
    • Database or CRM systems experience, MLT currently uses Mailchimp
    • Experience of implementing and using a finance package (Sage) would be a distinct advantage.
  • Previous experience of fundraising in a not for profit organization is essential (either on a voluntary or employed basis).
  • Applicants who combine the above, with experience of working in a professional services environment would be considered favourably.

The work schedule is approximately 20 hours per week, Monday to Friday.  A minimum of one day per week is office based at the High Commission of Canada.  There is flexibility to be home based on the remaining days but regular presence in the office is advisable and necessary in order to fulfill the requirements of the role.  Some evening work is required in order to support regular Board Meetings (typically approximately 6 meetings per year).
