Job Description

We are currently seeking an administration assistant to join a small but fast growing charity.

You will work closely with the chair of the charity providing general administrative support to the charity and undertake everyday routine administrative tasks including but not limited to processing any internal/external correspondence including letters, emails, reports, general typing, filing, photocopying, answering and making phone calls, handling mail and basic finance including donations and donations reports. You will also manage and maintain the diary of the charity ensuring it’s kept up to date at all times.

You will be expected to maintain a high level of confidentiality and to carry out any additional duties as requested.

Key Skills

  • Excellent ICT skills especially the main Microsoft Office tools including Word, Excel, Access, PowerPoint as well as the internet and email
  • Good telephone manner
  • Good initiative and ability to work independently with little direct supervision
  • Be comfortable working within a small team or by yourself
  • Excellent communication skills - Ability to communicate effectively at a number of different levels (telephone, written correspondence and in person)
  • Strong organisational skills
  • Maintaining strict confidentiality having an understanding of the General Data Protection Regulations would be most advantageous.
  • Experience of working with patient records would be advantageous

Personal Qualities

You should have a clear understanding of an office environment, alongside great communication and interpersonal skills and be fully computer literate.

Above all you must have the ability to be discreet, have excellent attention to detail, reliable and honest with the ability prioritise and communicate well would help you in this role. You must be able to conform to written policies and procedures, as well as take initiative, as you may be expected to use your own processes. Multitasking would be beneficial when carrying out this role, as you might manage a number of different tasks.
