Executive Assistant to the Chief Executive of The Royal Foundation

Permanent Contract

£35-40k per annum, based on experience

Kensington, London/Remote working

Working closely with the Chief Executive, the Executive Assistant will provide high-level and comprehensive executive support to the CEO, including planning, project management, secretarial and administrative support. This role must ensure the smooth day-to-day management of the CEO’s office and that all matters are dealt with in a professional, efficient, and sensitive manner.

Principal Accountabilities

To act as the main point of contact for, and provide support to the CEO
Provision of detailed timely administrative and business support, enabling the CEO to carry out their role effectively and efficiently
To provide extensive calendar management and efficient coordination of meetings and other appointments on behalf of the CEO 

To provide general administration and organisational services including organising travel and preparing travel itineraries, preparation of correspondence, memos, briefing papers, meeting minutes and prioritising emails for the CEO in a timely and accurate manner
To ensure all relevant meetings run smoothly and relevant papers are prepared in advance
To proactively follow-up on action points from meetings on behalf of the CEO
Capacity to anticipate and understand the CEO and Senior Management Team (SMT) needs, priorities, and goals
To work closely with and liaise with, on behalf of the CEO, other members of The Foundation, The Royal Household, the Board of Trustees, supporters of the Foundation, and their offices
To undertake research, analysis and prepare reports for key projects for the CEO, acting independently and exercising personal judgement
Responsible for the retrieval from, and recording of, information in the Foundation’s supporter database, ensuring accuracy and adherence to established guidelines and policies and working closely with the fundraising team on donor stewardship and communication
To provide support, advice and at times cover, for the wider Foundation admin team – as required
Any other ad hoc duties as requested by the CEO and other members of the wider team

Relationships (Internal and external) 

Key members of The Royal Foundation team
Regular contact with The Royal Household as appropriate
Regular contact with various external organisations, private individuals, and grant recipients
The Royal Foundation Board of Trustees 

Person Specification

The Royal Foundation is a high-profile organisation, and the successful candidate will appreciate the importance of discretion and confidentiality and have a mature and professional approach. The ideal candidate will anticipate potential problems that may arise and is proactive, reactive, and timely in coming up with solutions to present to the CEO.


Key Skills and Competencies

Proven project management skills, with an ability to be proactive and reactive and see beyond day-to-day business
Ability to deliver exceptional quality of work at a fast pace in complex environments
Excellent attention to details ensuing that both internal and external presentation is perfect
Strong written, verbal, and online communication skills; a highly articulate team player
Proven ability to multi-task under pressure, respond quickly to changing situations whilst remaining calm and use personal initiative
Sound judgement and an ability to identify issues before they arise and strong capability of forward planning
Aptitude to maintain confidentiality and always exercise the utmost discretion
Excellent secretarial and IT skills, with fast and accurate typing
Highly organised with ability to help organise others
Extensive calendar management and planning skills of meetings, events, briefings, and other appointments
Attention to detail and the ability to be clear and concise
Excellent timekeeping
A commitment and willingness to uphold the Foundation’s values in all areas of work

Experience and Knowledge 

Previous demonstrable PA, secretarial and administrative experience at a senior level, including drafting of business correspondence independently
Proven ability to take minutes of meetings and following up on required actions
Ability and confidence to deal with a wide variety of people at all levels within internal and external organisations, both on the telephone and in person when required
Flexible and mature approach and the ability to work as part of a wider team

Qualifications

Educated to degree level or equivalent demonstrable experience.

Practical Requirements  

Available to work beyond standard hours and to travel in UK as needed.
