Job Description

INTRODUCTION

Unsafe surgery is one of the fastest-growing health crises of our time, and Lifebox is the leading nonprofit working to address it. Our mission is ambitious and urgent: make global safe surgery and anaesthesia a reality for every patient around the world.

Lifebox is dedicated to improving surgical safety in low and middle-income countries and is registered as a charity in the USA, UK and Ethiopia. Founded in 2011 by the authors of the WHO Surgical Safety Checklist, Lifebox works to ensure that surgical teams around the world have the tools and training needed to provide the safest care possible for their patients. Our work focuses on three key areas or pillars: anaesthesia safety, reducing surgical site infections, and improving teamwork in the operating room. 

PURPOSE OF THE ROLE

To contribute to maintaining effective financial processing and control, and the production of financial information across Lifebox globally. This includes recording all income and expenditure accurately and performing monthly reconciliations. To support the management of donor grants and submission of timely grant reports to donors

ROLES & RESPONSIBILITIES

  • Ensure transactions are properly recorded and entered into the accounting system (currently using QuickBooks Online);

  • Maintain financial files and records including electronic copies of all contracts, invoices and relevant documentation;

  • Manage and reconcile the accounts payable and accounts receivable;

  • Process invoices and staff expenses;

  • Reconcile the monthly bank statements across UK and USA;

  • Assist with the annual statutory audit.

  • Contribute to and manage appropriate internal reporting systems in order to effectively manage and report on expenditure on a project by project basis;

  • Collate financial information and prepare reports for donors in accordance with their individual requirements;

  • Maintain electronic files of funding agreements, contracts and relevant expenditure;

  • Support compliance of grants with financial and other policies;

  • Ensure compliance with donor requirements;

  • Produce reforecasts where required by the donor with input from grant budget holders.

Other responsibilities may be added depending on experience and need.

PERSON SPECIFICATION

  • Working towards a qualification in bookkeeping or accountancy such as ACCA, CIMA;

  • Minimum 3 year's recent exposure in relevant comparable roles within the UK and/or US charity sector;

  • Working knowledge of donor reporting and compliance requirements (institutional donors such as FCDO and foundations), as well as restricted/unrestricted grants management;

  • Intermediate to advanced knowledge of Microsoft Excel;

  • Previous experience of QuickBooks accounting software (or similar) and openness to learning new systems;

  • Comfort with working in multiple currencies;

  • Willingness and ability to work from home as Lifebox is currently reviewing its office arrangements.
