Communications Assistant
the international union against tuberculosis and lung disease

Job Description

Overview of the position:

Reporting to the Global Director of Communications, the Communications Assistant will work as part of the Communications team to assist in all areas of communication programmes and initiatives. S/he will support marketing and PR activities across all Union projects, departments and regions.

Main Responsibilities:

· Research ideas and content needed for communication campaigns, including statistics and facts on the latest work in tuberculosis, lung health and tobacco control.

· Contribute to the copy writing of marketing materials, digital content and press releases.

· Assist in uploading content onto Union websites, and managing web content when appropriate.

· Oversee all translations of content.

· Oversee the production and distribution of Union seasonal messages.

· Maintain databases of stakeholders, ensuring the department is compliant with data protection legislation.

· Support event and conference communication, including attending events when necessary, staffing Union exhibition booths, sourcing and sending Union materials to events, and arranging branding.

· Draft social media posts, research social media influencers and contribute to the development of the social media communities when required.

· Build relationships with a wide range of suppliers, including printers and designers, to ensure The Union gets the best quality and value for money.

· Research potential channels to reach target audiences effectively, including developing direct mail lists. Maintain existing databases and direct mail lists, including MailChimp lists and campaigns.

· Support the maintenance of media contacts database, including regular monitoring of The Union’s Cision service.

· Evaluate communication impact, preparing reports and distributing updates.

· Maintain the communication editorial calendar, researching key editorial moments to be scheduled into our corporate communications.

· Be the Communications’ focal point for invoices, raising the necessary permissions, keeping records up to date, liaising with The Union’s Finance team and suppliers to ensure smooth payment

· Carry out a range of administrative tasks, including updating the holiday schedule, ensuring contracts and consent forms are up to date.

· Schedule communication team calls and team member conference calls when necessary. Take minutes and circulate actions from meetings when needed.

· Upload and oversee all communication department invoices.

· Upload photography to the Image Library and ensure all images are correctly captioned.

· Maintain contract library and consent form records.

· Undertake other duties when required.

Qualifications:

· Degree in communications, marketing or related field.

· Excellent written and verbal communication skills.

· Ability to think creatively and apply problem solving skills.

· Demonstrate flexibility and experience of working to tight deadlines.

· A willingness to learn and commitment to self-development.

· Fluent in English, proficiency in French and Spanish an advantage.

· Knowledge of public health desirable.

· Ability to work on their own initiative as well as part of a global team.

· Available to travel and work with countries in different time zones.
