Job Description

Finance and Admin Officer 0.6 FTE

Salary: £27,500 pro rata

Location: Central London, EC1V 8BB

The International Humanist and Ethical Union is a small, but growing, international not-for-profit based in London. We are looking for an experienced and dedicated finance and admin officer to join our team and help us manage our growth.

The IHEU is a small organisation, with an unusual legal structure. We are primarily a US-based not-for-profit (501 c(3)), but based in London as a ‘foreign company’. The successful candidate will be overseeing financial compliance within both the UK and US, as well as managing transactions in multiple currencies.

This post will take over aspects of work that are currently done by other staff, and external consultants. This means that part of the job will involve creating new internal processes and systems. This job will suit someone who has a high level of experience, and who is passionate about our cause and wants to help the organisation grow into its next phase.

This post may require infrequent travel, but will be largely office-based. The position is 0.6FTE, working 3 days in 5 in a fixed pattern.

This post reports to the Chief Executive.

Tasks will include the following bookkeeping tasks:

  • Preparing monthly management accounts for the Chief Executive and quarterly updates for Board meetings.

  • Managing all financial transactions on Quickbooks

  • Handle all cash collections and carry out weekly banking

  • Undertake bank reconciliations, including $USD and €EUR accounts, manage petty cash and expenses for all paid staff and volunteers

  • Oversee staff credit cards and monthly reconciliations

  • Online banking for utilities and other ad hoc payments as required

  • Oversee monthly payroll following internal control recommendations and liaising with external payroll company

  • Administration of pension payment set up (Nest)

  • Working with an external accountant to prepare the annual audited accounts

  • Overseeing US compliance with an annual IRS 990 return

Fundraising:

  • Work with the Chief Executive to ensure all giving material is accurate and compliant

  • Liaising with donors on gift aid status

  • Coordinating the counting for major gift days

  • Providing the staff with necessary financial information

Administration:

  • Issuing and follow-up invoices to our members for their annual fees

  • Answering phone calls and emails from members

  • Supporting the Chief Executive to arrange international travel and arrangements for other events (such as the annual General Assembly)

  • Providing support to the Chief Executive to service Board meetings

  • Provide minutes for Board meetings, and other important meetings

Person specification

Essential

  • Experience of managing bookkeeping software

  • Excellent IT skills, specifically:

    • Experience with Google Apps (mail, docs and sheets)

    • CRM systems

  • Experience of UK financial regulations and compliance

  • Excellent time management with the ability to meet tight deadlines

  • Comfortable working in a fast-paced environment with changing priorities

  • A personal commitment to human rights, and equality

Desirable

  • Experience of Quickbooks

  • Experience with CiviCRM

  • Experience or understanding of US financial regulations and compliance

  • Financial qualification (NVQ Level 4 or above)

  • Understanding of, and support for, the aims of IHEU
