Job Description

ABOUT THE ROLE
We are looking for a Finance Manager to provide effective management of the organisation’s financial procedures and ensure effective controls and financial reporting processes for HealthProm’s activities and projects.  The postholder will also carry out company secretarial duties. The role will be based in our office in Kings Cross, London.

KEY ELEMENTS OF THE ROLE:

Financial Management

  • Responsible for overall management of the accounting system (QuickBooks), including reconciliations
  • Managing HealthProm’s tax affairs and pension contributions
  • Running payroll for office staff
  • Management of short and long term forecasts and annual budgets
  • Maintain exchange rate tables for both HealthProm and international partners
  • Maintain monthly project core cost recovery sheet and execute the transfers via online banking accordingly
  • Maintain oversight of all HealthProm’s financial activities, flagging up any significant issues to the Director of Operations and Financial Consultant
  • Ensure that financial procedures and associated deadlines are critically adhered to, throughout the organisation
  • Assisting Financial Consultant in preparation of month end management reporting and analysis, including balance sheets and cash flow
  • Assist with production of project budgets (in cooperation with Project Managers) to support project bids including splitting into appropriate fiscal years and linking to HealthProm’s financial systems  (to allow easy budget v actual reporting for individual projects)
  • Provide assistance to Project Managers in the production of financial reports to donors for some of the projects
  • Regular meetings with Project Managers and other finance staff to discuss the project financial performance and any issues arising
  • Produce monthly/quarterly reports for Project Managers for some of the projects

Company Secretarial

  • Managing records with Companies House and the Charity Commission
  • Filing annual returns and annual reports

PERSON SPECIFICATION:

Key Skills and Competence

  • Qualified accountant with experience in NGO sector including the specifics of charity accounting and annual returns
  • Experience managing institutional funding, including reporting to the donors such as EC, DFID and BLF
  • Knowledgeable in specific accounting systems (QuickBooks desirable)
  • Excellent Excel skills (proficient at management and manipulation of data within Excel)
  • Computer literacy essential
  • Previous experience of running a small payroll and handling all matters with HMRC is required
  • Good inter-personal skills, able to work well within a small team. Flexible and with a support orientated approach
  • Self-sufficient, able to undertake the role with minimal supervision
  • Goal orientated, able to meet deadlines on both the monthly accounting cycle and the project lifecycle (bid development, project reporting and donor reporting)
  • Russian language skills highly desirable
