Job Description
Borderlands is a charity that supports asylum seekers and refugees in Bristol.
Job title: Finance Administrator
Hours of work: 22.5 hours a week (3 days per week)
Salary: £9.40 - £10.25p/h depending on experience (£11,000 - £12,000)
Reporting: To the Director
Purpose of role: To assist in the management and oversight of the charity’s finances.Additionally, assisting with general administrative matters and the running of the office.
Location: You will be working mostly in the Borderlands office at the Assisi Centre office, Lawfords Gate in Bristol; some home working or attendance at other locations may occasionally be required.
Areas of Responsibility and Specific Duties
General finance:
- Management and oversight of all payments that pass through the Borderlands office, including donations, expenses and salaries
- Administrating payment of all wages
- Checking and administering HMRC payments and pensions
- Managing and administrating payment of all expenses for the general running of the
- office and for all specific Borderlands projects
- Paying bills relating to Borderlands
- Using the Xero accounting package effectively, including responsibility for all data
- entry and the coding and allocation of funds
- Sending reports of credit card expenses and the Paypal account to the accountants
- and reconciling these on Xero
- Preparing information for financial reporting, such as for the Independent
- Examination or Annual Accounts
- Checking rental payments for Cross Bridge house
- Preparing other additional financial reports when needed
- General maintenance of financial information on- and off-line
Contacts and donors
- Receiving donations and paying them into Borderlands’ bank account
- Submitting and all Gift-Aid claims and monitoring progress of the claims
- Maintaining database of contacts and donors
- Sending thank you letters to donors
Administrative tasks
- Filing financial documents and records on- and off-line
- Assisting with the organisation and running of the office
- Assisting the Director in admin tasks or other responsibilities that may be required
- Organising and managing volunteers to assist with administrative tasks
Additional
- Working with Borderlands Drop-in and providing them with any financial information they may require to monitor their budgets
- Maintaining computer literacy in using Microsoft Office packages including Word, Excel, Outlook, PowerPoint for daily office use such as helping to prepare for meetings, presentations
- Photocopying and assembling information and documents for meetings, postage etc.
- Attendance and participation in the charity’s AOM, Vision Day and Trustee meetings
- occasionally each year
- Attending training courses or special events that are relevant to the needs of the post
- Matters arising and using problem solving skills to achieve outcomes quickly and economically
- Any other administrative duties necessary for the admin and delivery of the charity’s operations
Holidays: This role is entitled to 17 days holiday per annum (plus public and bank holidays).
